This page allows for managing user access to the FreightPOP TMS within an enterprise, including adding or removing users and modifying their account authorizations.
Create, Edit, or Clone User
When adding or editing a user, the following fields are required:
First Name
Last Name
Password & Confirmation
Email
Telephone
User Type
Role
Assigned Carrier(s)
Users can also be assigned to specific warehouses to limit their visibility of operations.
When using the Clone feature, the following fields are not copied to the clone. All other settings are:
First Name
Last Name
Password & Confirmation
Email
Telephone

User Type
The default user type for most users is Standard, primarily intended for internal users. The system also includes predefined user types with specific permissions. The dropdown menu allows the creation of users for Customers, Sales, and Vendors.
Managers
Users can be designated as managers of other users. Currently, the primary function for Managers is to approve shipping approval rules triggered by users who have them assigned as their managers.
In the User Manager, all users should have access to the Managers dropdown, except those with the Shipping Manager or Operations Management user function. These roles automatically appear in the manager selection list for assigning managers to other users.
Users can have multiple managers assigned, though assigning a manager is not mandatory.
Warehouses
Warehouses serve two main purposes:
Address Defaults – Warehouses can be designated as default ship-from locations in FreightPOP, enabling users to create shipments more efficiently without repeatedly entering the address.
User Permissions – Users can be granted access to specific warehouses, restricting their ability to ship from, view orders, or review shipment history only for their assigned locations.
User Visibility
These options are used to limit what users are able to see within the system.
Show Entire Account Shipments: User can view all shipments from all locations and users
Show Default Warehouse Shipments: User can view all shipments from their default warehouse (even if they have access to multiple)
Only Show User’s Shipments: User can only see the history on their own shipments
User visibility settings in the User Manager should be consistently applied across all tracking tabs, including in transit, ocean, drayage, return, and track a shipment, as well as on the SO grid, PO grid, and history.
Advanced Settings
The Advanced Settings section includes a variety of additional configuration options that can be set on a per-user basis. These settings are optional and can be left blank if not needed.
Default Values & Workflow Options
Many options in this section define default values for the Quote/Ship screen, as well as workflow-related settings.
Schedule Pickup
Ready time and cutoff time – Specifies default pickup times for a user in the Quote/Ship screen.
Auto Populate Pickup Info – If Required Ship Date is populated in the Ship To form, then the system will automatically map to Pickup Date. If Required Ship Date is empty, Pickup Date will default to the present date. If Required Delivery Date is populated in the Ship To form, then the system will automatically map to Delivery Date, otherwise Delivery Date will remain blank.
Do Not Allow Changes to Pickup Contact – Restricts modifications to the pickup contact details.
Quoting & Shipping Rules
Ship window set to One Click-N-Ship – Streamlines the shipping process for faster execution.
Move Carrier/Ship It to the Top – Relocates the Ship button from the bottom to the top of the Ship screen.
Redirect back to the Home Screen – Automatically redirects users to the home screen after completing a shipment.
Fields Required for Shipping
Allows selection of required fields for shipment processing.
If a required field is missing, the system will display a message: "Due to a company rule, {required fields} are required in order to ship."
Default Ship-From Contact Fields
When enabled, if a ship-from address is missing an Attention To, Phone Number, or Email, the system will automatically populate these fields using the information from the user editing the shipment or order.
Disable Approval Emails Toggle
FreightPOP now supports a feature that allows designated approvers to approve shipments without receiving approval request emails. This is useful for cases like Hazmat or Intel Compliance approvals, where certain users need to approve orders but are not part of the standard email distribution list.
Admins can enable this setting by going to User Manager > select a user > Edit User > Advanced Settings. At the bottom, in the Email card, toggle the option labeled "Disable Approval Emails". When enabled, the user will no longer receive approval request emails but will get a Message Center notification containing the approval code. Shipments can only be approved via the notification, approval codes will not be visible in the dashboard or other views.
Only users included in the Rules Approvers list can see and use this toggle. It will not appear for others, and visibility is controlled based on role permissions. If a user is removed from the Rules Approvers list, the toggle is no longer available to them.
This change does not impact application performance. Approval codes are securely delivered through the Message Center, and approvals must be completed through the notification link. Approval via email or dashboard is not supported when this toggle is active.
Reset Passwords
Admins have the ability to reset a user's password. However, for security reasons, it is recommended that users reset their own passwords through the standard password reset process whenever possible.
