WMS is an add-on feature. Please contact your account manager for more information.

With the Warehouse Management System (WMS) app in FreightPOP, you can now configure your WMS portal, warehouse locations, and bins directly in the application. These settings allow you to customize how your warehouse operations function and ensure your workflows align with your business processes.

Where to Configure

  1. Go to WMS App → Settings

  2. The Settings page includes three tabs:

    • General

    • Warehouses

    • Bin Setup

General Tab

The General tab includes the Pick Transactions card. This card determines how picking transactions are handled in your WMS.

Pick Transactions Fields

  • Pick Transaction Type

    • These are the transactions that will flow in from the FreightPOP TMS to the WMS

      • Options:

        • Sales Order (default)

        • Outbound Transactions

        • Shipments

  • Pick Transaction Posting

    • This is where you’ll set when WMS Picking transactions would export and post to your ERP system/integration

    • Options:

      • Upon Processing Shipment (default)

      • Upon Carrier Pickup

      • Upon Completed Pick

Warehouses Tab

The Warehouses tab is where you add, edit, or manage all your warehouses used in WMS.

Warehouse Grid

The grid displays warehouse information at a glance, including:

  • Company Id

  • Company Name

  • Attention To

  • Address fields (Street, City, State, Zip, Country)

  • Contact Info (Phone, Extension, Email)

  • Notes

  • Tax Id

  • User Defined Fields (1–6)

Grid Features

  • Ellipsis menu (⋮) includes:

    • Edit Table Columns: Drag/drop, toggle visibility. Changes are saved per user.

    • Export Full Table: Downloads the grid in Excel format.

  • Add Warehouse (+): Opens the Add New Warehouse screen.

Adding or Editing Warehouses

When adding or editing a warehouse, you’ll have two tabs: General and Rules.

General Tab

Three cards are available:

  1. Warehouse Info

    • Option to select an address from the FreightPOP Address Book (autofills fields).

    • Company Id: If blank, system assigns a unique ID (must be unique across FreightPOP, Dock Scheduling, and WMS).

    • Company Name: Required

    • Attention To, Phone, Extension, Email (comma-separated list supported).

  2. Address Info

    • Street Address (required)

    • Street Address 2

    • City (required)

    • State (required)

    • Zip (required)

    • Country (required; dropdown list)

  3. Additional Info

    • Notes

    • Tax Id

    • User Defined Fields 1–3 (free text)

    • User Defined Fields 4–6 (date fields)

Validation:

  • Required fields must be filled to save.

  • Email addresses must be valid.

  • Date fields must contain valid dates.

Rules Tab

The Rules tab includes the Identifiers card, which allows you to define warehouse-level inventory identifiers.

Identifier Toggles

  • Use License Plates

    • Makes License Plates available for receipts, transfers, and transactions.

    • Auto Generate License Plates (sub-toggle): Requires Use License Plates = ON.

      • Fields: License Plate Prefix and Starting Number.

      • Automatically increments with each new license plate created.

  • Use Lot Ids

    • Enables Lot Ids on receipts, transfers, and transactions.

  • Use Lot Expiration

    • Requires Use Lot Ids = ON.

    • Enables Lot Expiration tracking.

  • Default Lot Id When Empty (default: OFF).

    • When toggled ON, two required dropdowns appear:

When Empty

  • Prompt Every Time
    When a receipt transaction is saved, the system prompts the user to confirm whether empty Lot IDs should be auto-populated based on the warehouse settings.

  • Auto Apply On Save
    When a receipt transaction is saved, the system automatically fills any empty Lot IDs according to the warehouse settings, without prompting the user.

Fill With

  • Today’s Date — formatted as YYYYMMDD (e.g., 20251023)

  • PO Number — populates the Lot ID field with the associated PO number

  • Specific Value — displays a text input for entering a custom value (up to 30 alphanumeric characters)

The Specific Value input field is only displayed when this option is selected in the Fill With dropdown.

  • Use Additional Identifier

    • Allows up to 3 custom identifiers.

    • Each requires a user-defined label (alphanumeric).

    • At least one label must be defined to save.

Business Rules

  • Once enabled and saved, identifiers cannot be turned off for that warehouse.

  • On first enable, a confirmation modal appears:

    • Header: Alert

    • Body: “You are enabling the following identifiers: {list} … Once saved, these identifiers cannot be turned off.”

    • Buttons:

      • Save: Confirms and saves warehouse.

      • Cancel: Returns to Edit screen.

Bin Setup Tab

The Bins tab in the WMS Settings allows you to define, manage, and organize storage bins across your warehouses. Bins represent specific storage locations within a warehouse and are essential for inventory tracking, picking, and fulfillment.

Bins Grid

The Bins tab displays a grid of all bins created in your WMS.

Grid Columns

  • Company Id

  • Company Name

  • Street Address

  • Bin Number (unique identifier per warehouse)

  • Bin Type (Standard, Overflow, Picking)

  • Status (Active or Inactive)

  • Notes

Default Filters

  • Active Only (pill filter):

    • ON by default → Only shows bins with Status = Active

    • OFF → Shows both Active and Inactive bins

  • Warehouse Location filter (dropdown):

    • Options: All Warehouses (default) + all active warehouses

    • Selecting a warehouse filters bins to that location

Standard Grid Actions

  • Ellipsis menu (⋮):

    • Edit Table Columns: Drag/drop and toggle column visibility (saves per user)

    • Export Full Table: Downloads the current grid configuration to Excel


Adding Bins

Click the + icon above the grid to add new bins. Two options appear:

  1. Add Bin

  2. Import Bins

Add Bin

Selecting Add Bin opens a form (also used for editing bins).

Form Fields:

  • Warehouse (required; dropdown of active warehouses)

  • Bin Number (required, alphanumeric, 50 char max, unique per warehouse)

    • Inline validation: “Bin Number already in use.”

  • Bin Type (required: Standard, Overflow, Picking)

  • Notes (optional, up to 500 characters)

  • Is Active (toggle)

Behavior:

  • Saving adds the bin immediately to the grid (no refresh required).

  • If the bin is saved as inactive while Active Only is ON, a snackbar appears:

    “Bin is saved, but isn’t visible. Bin {bin-number} is currently hidden by a filter.”

Import Bins

Selecting Import Bins opens a file uploader, modeled after the Product Catalog importer.

Features:

  • Download Template button (spreadsheet format).

  • File upload field → Displays file name after selection.

Template Validations:

  • Required fields: Company Id, Bin Number, Bin Type, Is Active

    • Missing fields → “{Field} is missing on line {sheet-line}, row {row}.”

  • Company Id must match an active WMS warehouse

    • Invalid → “Company Id {id} on line {sheet-line}, row {row} does not exist.”

  • Bin Number must be unique per warehouse

    • Duplicate → “Bin Number {bin} on line {sheet-line}, row {row} already exists. Please enter a unique value for Bin Number.”

  • Bin Type must equal exactly: Standard, Overflow, or Picking

    • Invalid → “Bin Type on line {sheet-line}, row {row} is invalid.”

Editing Bins

Click the Edit button on a bin row to open the form.

  • Same validations as Add Bin (e.g., unique Bin Number).

  • Updates apply system-wide (e.g., reflected in Current Inventory).

Deleting or Inactivating Bins

  • Marking as Inactive:

    • Allowed only if the bin has no inventory.

    • If inventory exists → “There is existing inventory allocated to this Bin. Bins must be empty before they can be marked as Inactive.”

  • Deleting a Bin:

    • Allowed only if the bin has no inventory.

    • If inventory exists → “There is existing inventory allocated to this Bin. Bins must be empty before they can be deleted.”

User Visibility Settings

  1. Go to TMS → Settings (user icon) → User Manager.

  2. For each user, configure:

    • Visibility setting (e.g., Show All Shipments, Show Assigned Warehouse Shipment, Only Show User’s Shipments).

    • User Warehouses — Assign warehouses with matching Company Ids to the user.

    • Default Warehouse — Set a default warehouse with a matching Company Id to WMS warehouses.

How It Works

WMS fetches user visibility settings from the TMS API. Based on these settings, the Warehouse filter on the following WMS pages is dynamically scoped:

  • Transactions

  • Bins

  • Receipts

  • Picking

Only warehouses matching the user’s TMS visibility configuration are shown in the Warehouse dropdown and used to filter grid data.

Rules & Behaviors

  • Warehouse Filter appears on Transactions, Bins, Receipts, and Picking.

  • Default Warehouse auto-selects in filters if its Company Id matches a WMS warehouse.

  • Saved Grid Settings override the default filter. If reset, default warehouse is re-applied.

  • WMS-only Warehouses:

    • Visible only to users with Show All Shipments.

    • Hidden from others, even if present in WMS but not in TMS.

  • User-Specific Visibility:

    • Show All Shipments — Shows all WMS warehouses.

    • Show Assigned Warehouse Shipment and Only Show User’s Shipments — Show only warehouses selected in TMS with matching Company Ids in WMS.

  • Grid Filtering:

    • Data is scoped by warehouse filter only, not individual user transactions.
